AFTER SCHOOL CARE

The After School Care program is available to preschool - 5th grade students from 3:20 pm to 5:30 pm on regular school days. After School Care is offered on early release days, but not on half days, such as the first and last day of school or the last day before Christmas Break.

Absences 

We understand that schedules can be hectic so if your child will not be attending ASC, you can mark them absent on the HiMama app if you want to. This will benefit our staff when planning for snacks and setting up activities for the day.

Accidents/Illness 

If the child becomes ill during ASC, parents will be notified by phone call. If the child has a bathroom accident, extra clothing will be provided. The clothing must be cleaned and returned to the school office. First aid will be provided for minor injuries, however if there is what we deem a critical emergency, a parent will be contacted. In case the parent/guardian cannot be reached, the directors will have the authority to contact local medical care. Either the directors or the principal will go to the medical facility to wait with the child until a parent arrives. 

Behavior Management/Disciplinary Steps

ASC will follow the guidelines of success designated by VBRD for Holy Family Elementary.

The student will be warned about their behavior. 

The student will be removed from activity and asked to proceed to the designated calm down spot. Here students will be given a chance to think about their choices of behavior and communicate with a staff member about how to improve this behavior.

One of the staff members will communicate with the child’s parent about the behavior. The behavior will be documented.  

If behavior continues or escalates, the directors will speak with the principal.

Reoccurring acts of physical aggression may warrant dismissal from the ASC program.

Check in Procedures

Students will gather in the Activity Center for dismissal. ASC workers will take attendance through the "Lillio" app to keep track of entry & exit of your child. Parents/guardians will create an account through the HIMAMA app to log on and see any activity, such as check-in/out times.

Check out Procedures

Parents and/or individuals approved for pick-up must enter through the North doors to pick up children from ASC unless the students are playing on the playground. If the person picking up your child(ren) from After School Care is NOT on your allowed pick-up list, your child(ren) will NOT be able to leave with that person. You may e-mail or notify the directors if someone different will be picking up your child other than who is on your list. ASC children will be located in either the Activity Center, Little Theater or the playground. It will be noted on the ASC whiteboard where the students are located during ASC hours.

Please note that there is a $5.00 late fee for students not picked up by 5:35 p.m. Please be sure to pick up your child on time.

We use the HIMAMA app to communicate with parents. Feel free to contact either co-director at any point in time if you have questions or concerns.

Fees and Payment Policies 

A $30 ASC supply/registration fee per child is due at enrollment or at any time during the school year when a child signs up for ASC. HFE/TMP employees also pay this fee.

Daily fee -- $6.00 per child per day attended, no matter what time the child is picked up from After School Care. If a student is checked in but picked up before 3:35 p.m., the student will not be charged for that day.  

Early Release Day Fee -- $12.00 per child.

Late Pick-Up Fee -- $5.00 per child, when the child is picked up after 5:35 p.m. 

Billing -- After School Care statements are done monthly and will be e-mailed out to all parents after the end of each month by our school bookkeeper. Payment is due by the middle of the following month. Please contact the school bookkeeper at hfeaccounting@hfehays.org for any additional information.

Payments can be sent to school in your child’s communication folder labeled as ASC payment.  It can also be dropped off directly to the office and/or given straight to the bookkeeper.

Homework 

All students are welcome and encouraged to work on homework during ASC, but it is not mandatory unless specified by the student's teacher or parents. Homework supervision by adults is available during ASC.

Free Play

Students may participate in a variety of activities including reading, coloring, drawing, playing games, completing puzzles, crafts, and playing with provided toys. Students may be allowed to play in the gym if supervision is available and homework has been completed. Students will receive outdoor play time as much as possible when the weather allows. Staff will be around the play areas to monitor play. Indoor play will be utilized if the weather does not permit. Students are required to follow Holy Family Elementary playground rules at all times.

Playground Rules 

After School Care will follow the same playground rules as the students do during the school day, found in the school handbook.

School Cancellations 

In the event that Holy Family Elementary cancels school, ASC will NOT be held that day.

Snacks 

A snack will be offered to every student daily. A sign-up will be sent out through the HiMama app for ASC. If your child has any food allergies or dietary restrictions, you are welcome to send a snack with your child or we can coordinate an alternative option for your child.

Staffing

A staff-child ratio of 1:10 is maintained to assure individual attention and proper supervision. All staff are qualified to work at ASC.

Toys from Home 

Toys from home may not be used during ASC hours of operation. Personal toys are to  remain in the child’s backpack during ASC. ASC is not responsible for lost or stolen items.
